Welcome to the vendor application page for A White Hart Christmas 2024! We are excited to host our first-ever Christmas-themed Renaissance Faire on December 14th and 15th. This enchanting event will feature a blend of Renaissance tradition with festive holiday cheer, offering visitors a unique marketplace filled with artisans, crafters, and delicious food vendors. While this is our first winter time event most of our theme events draw 1,000+ people per day.

  • Event hours: 10:00 AM – 6:00 PM

Vendor Categories:

We are seeking high-quality vendors in the following categories:

  • Artisans & Crafts: Handmade goods, Renaissance-era crafts, holiday-themed items, pottery, jewelry, woodwork, and more.

  • Clothing & Costumes: Renaissance, medieval, and holiday-themed attire, accessories, and garb.

  • Food & Beverage: Traditional Renaissance fare, holiday treats, warm beverages like cider and mead.

  • Holiday Decor: Christmas ornaments, garlands, wreaths, and other festive decor.

  • Candles & Soaps: Handmade items with holiday and winter scents.

  • Toys & Gifts: Unique toys, games, and stocking stuffer options.

If your offerings include Renaissance or Christmas-themed items, we encourage you to apply!

Vendor Fees & Details:

  • Booth Fee (12’x12’): $100 per space for the weekend.

  • Food Vendor Fee: $150 for the weekend (included if needed).

  • Electricity Access: Additional $20 fee.

​

Vendor Perks:

  • Early Setup: Access the fairgrounds to set up on Friday, December 13th, starting at 12:00 PM.

  • Camping: On-site primitive camping available for vendors.

  • Promotion: Your business will be featured on our social media platforms and website leading up to the event.

Important Deadlines:

  • Application Deadline: November 30, 2024.

  • Payment Deadline: December 7, 2024.

Additional Vendor Information:

  • No Exclusivity: While we do not offer exclusivity to any one vendor, we do limit the number of vendors within the same product category to ensure variety.

  • Weather Preparedness: The event will proceed rain or shine, so please come prepared for all weather conditions.

  • Themed Booths: We encourage vendors to decorate their booths with holiday cheer or Renaissance decor to enhance the festive renaissance atmosphere.

  • Vendor Responsibilities: All vendors are responsible for their own setup, display materials, and necessary permits or licenses.

  2. Submit photos of your booth and product offerings for review.

  3. Await confirmation from our team with further instructions and payment details.

Important Information

Fire Safety
At A White Hart Christmas, the safety and well-being of our participants and guests are our top priorities. To maintain a secure environment, we have established the following fire safety guidelines:

  • Fire Extinguishers: All booths requiring electricity or those involved in fire-related activities must have a fire extinguisher readily available and must meet all fire safety standards.

  • Fire Approvals: Any fires within booths, encampments, or demonstration spaces must be pre-approved by our safety team. Prior approval is mandatory to ensure fire safety protocols are followed.

  • Campfires: Fires within the camping area are only allowed in designated and properly cleared fire rings. A safety crew member must inspect and approve the area before lighting any fires.

Complimentary Tickets
As a gesture of our appreciation for your participation, each vendor will receive 2 complimentary tickets to use at their discretion. Feel free to share the enchanting atmosphere of A White Hart Christmas with friends, family, or loved ones.

Payment Information
Invoices will be sent online, and we kindly ask that all fees are paid through the online portal when possible. If you need to send a check, please reach out to us for specific mailing instructions.

Rules and Regulations for Participation

Dress Code and Theme

At A White Hart Christmas, we encourage all vendors to embrace the magical and festive atmosphere by dressing in costumes that evoke the essence of a Tudor winter wonderland. Think of traditional English Christmas attire, or perhaps embody characters like Yuletide revelers, woodland creatures, or classic Renaissance figures. No modern elements, please—our goal is to maintain a family-friendly, historical ambiance that delights our guests.

Liability and Security

Weapon Policy

Minors under the age of 21 are strictly prohibited from consuming, handling, or purchasing alcoholic and tobacco products. Under no circumstances are controlled substances allowed on the fair site. Anyone found with controlled substances will face immediate expulsion and/or arrest.

Miscellaneous Rules

Please ensure that your booth and surrounding area are kept clean and orderly throughout the event. At the end of each day, all trash should be disposed of in designated dumpsters—please do not use patrons’ trash cans. Failing to adhere to cleanliness standards may result in forfeiture of your cleaning deposit and exclusion from future events.

Participants agree to be photographed or filmed by event organizers for publicity purposes. By attending, you grant A White Hart Christmas permission to use these images for promotional and archival purposes.

For the safety of all, any weapons displayed or worn must be sheathed and peace-bound at all times, except during pre-approved live steel performances. Violating this policy will result in immediate expulsion from the event. Vendors should ensure that any replica weapons sold are clearly labeled and safely packaged.

All vendors and participants agree to indemnify, defend, and hold harmless Historic Arts Presentations and A White Hart Christmas, as well as their sponsors, officers, employees, and agents, from any loss, theft, damage, or injury that may occur during the event. While security will be provided starting at 7:00 AM on December 14, 2024, vendors are ultimately responsible for securing their belongings. The event organizers are not liable for any loss or damage to property.

  • Tent Setup: All modern tents must be concealed from public view or taken down by 9:00 AM on event days.

  • Electricity: Vendors needing electrical power must arrange it with the event organizers ahead of time, including paying any applicable fees.

  • Cooking: Only propane or charcoal grills are allowed for cooking; no open flames are permitted, except in designated and approved fire rings.

  • Fire Safety: Vendors and encampments using electricity or fire must have a fire extinguisher at all times.

  • No Smoking or Vaping: Smoking and vaping are strictly prohibited in public areas, including vendor booths, during event hours. Designated smoking areas are provided for your convenience.

  • Health Permits: Food and beverage vendors are required to obtain a temporary health permit from the Department of Health to comply with local regulations.
