Welcome to the 2024 application page for vendors interested in participating in The Feast of the Goblin King and The Goblin King's Haunted Trail at White Hart Renaissance Faire. We are thrilled to invite artisans, craftspeople, and food vendors to apply for a spot at these enchanting events.

Event Details:

  • The Goblin King's Haunted Trail: October 4, 5, 11, 12, 18, 19 of 2024 from 6p to Midnight (Friday and Saturdays)

  • Feast of the Goblin King: Saturday, October 26, 2024 from Noon to 9p

Why Participate? Join us to showcase your products or culinary delights at our themed events that attract a diverse audience eager for unique, quality experiences. Our events are marketed extensively, ensuring high visibility and foot traffic.

Vendor Opportunities: We offer a variety of booth sizes and locations to fit different needs and budgets. From artisan crafts to gourmet food, our Faire provides a vibrant marketplace for all types of vendors.

Application Process:

  1. Read the Vendor Guidelines: Ensure you meet all requirements and understand our event's theme and expectations.

  2. Complete the Application Form: Fill out the detailed application form below. Please be thorough in describing your offerings and experience as we try not to saturate our marketplace with too many of the same products.

  3. Submit Required Documents: Attach photos of your products, booth setup, and any necessary health or safety certifications.

  4. Payment of Fees: Upon acceptance, vendor fees must be paid in full to secure your spot. Details on fees and payment options will be provided with your acceptance notification.

Vendor Type and Fee Summary:

  • Artisan/Crafter Vendors. Defined as having at least 75% of your product being crafted and/or designed by the owners of the booth. Rates for Feast is $40 per 12x12 and $10 per day of Haunt.

  • Reseller Vendors. Defined as more than 50% of your product is bought from someone to resell. Rate for feast is $45 per 12x12 and $12 per day of Haunt.

  • Food Vendors. Selling of any kind of food or drink product made onsite or offsite. Full menu must be approved by management with application, additions to menu maybe accommodated. Rate for feast is $50 for a 12x12 space for the Feast and $15 per day of Haunt. (We recommend no more than 4 items per 12x12 spot)

  • If you would like to reserve a specific spot within our faire grounds and have not built a permanent building we reserve the right to charge $25 for preferred placement on a first come first served basis.

Selection Criteria: Selection will be based on product quality, uniqueness, booth presentation, and alignment with the event's theme. Preference is given to handmade and artisanal goods.

Important Dates:

  • Application Deadline: October 1st (Application after this date may receive an additional surcharge to work you into our event space)

  • Notification of Acceptance: We will begin approving vendors applications on July 15th, and will strive to provide weekly approvals updates as we receive applications.
     

Terms and Conditions: Please read the terms and conditions carefully before applying. These include setup and takedown times, cancellation policies, and other essential details to ensure a smooth and successful event.

General Information 

Location: 5651 Hwy. F, Hartville, MO. 65667

​

Dates & Times: Haunted Trail (Oct 4, 5, 11, 12, 18, 19 Setup completed By 5p; Feast October 26 Setup Complete by 11a.

​

Booth Space: 12ft. x 12ft. This includes all ropes and displays. Additional Space available upon upcharge and request at 50% of rate we provide some leniency to period canvas tents as long as we know ahead of time. 

 

​​Feast of the Goblin King Fees for initial 12x12 (50% per additional):

  • Artisan/Crafter Vendor: $40.00

  • Reseller Booth: $45.0

  • Food: $50.00

  • Carts: $25.00 

  • Games: $25.00

  • Historical Demonstrators with booth: $30.00 per space(Negotiable)

Fee Examples.

-Jen has a 20x10 Carport Style pavilion that does not have stakes extending beyond one foot in each direction. Jen's overall footprint is 22x12. Jen's booth space would effectively be two 12x12's at $60 total ($40 for initial and $20 for the second 12x12)

-Joe has a period canvas tent that is 20 wide by 10 deep with ropes that extend at least 3 more feet on each side front and back. This makes Joe's effective footprint 26x16, we would consider this to fall as two 12x12 spaces because of his period canvas tent. Joe's vendor fee would be $60 ($40 for the first 12x12 and $20 for the second 12x12.)

​​Haunted Trail Per Day Refundable Fees:

  • Artisan/Crafter Vendor: $10.00 per day

  • Reseller Booth: $12.00 per day

  • Food: $15.00 per day

  • Carts: $5.00 per day 

  • Games: $10.00 per day
    We will require payment for all days of the Haunted Trail that you would like to vend, Space is extremely limited. You will receive you vendor fees back for each day of the Haunt that you attend and vend.

Payment: Due within 14 days of receiving the letter of acceptance. We will not hold you place without payment or deposit. (Late fee of $20 may apply if paid after that)

Set Up and Tear Down:

  • Set up will be allowed as soon as registration is complete for those who wish to start on a permanent booth.

  • Locations of booths are assigned by management on a first in basis to improve the overall experience of the faire. Your Haunted Trail location and Feast location may not be the same spots as the Haunted Trail will have limited space open.

Booth Design:

  • Get inspiration from movies based on 1400s--1700s and design your booth to complement your wares.

  • Use materials that are of Planet Earth, not man-made artificial material.

  • Steel, aluminum, and PVC pipe covered with burlap bags are acceptable, but no PVC pipes painted.

Important Information

Fire Safety:

The safety and well-being of our participants and guests are of utmost importance at the events of the Goblin King. To ensure a secure environment, we have specific fire safety guidelines in place:

  1. All booths requiring electricity or involved in fire-related activities must have a fire extinguisher on-site and meet fire safety requirements.

  2. Prior approval from our safety staff is mandatory for any fires within booths, encampment areas, and demonstration spaces.

  3. Campfires within the camping village are only permitted in properly cleared fire rings and must be approved by a safety crew member before lighting.

Complimentary Tickets:

As a token of our appreciation for your participation, all vendors will receive 2 complimentary tickets to be used at their discretion. Feel free to share the enchanting experience of The Goblin King's events with your friends, family, or loved ones.

Online Invoices will be sent please pay all fee's online if possible. If you require sending a check please reach out so that we may direct you on the correct way to do so.

Rules and Regulations for Participation at the Feast of the Goblin King

Dress Code and Theme

As vendors at Feast of the Goblin King, we invite you to immerse yourself in the spirit of the event with unique and enchanting costumes. Embrace the mystical atmosphere by dressing in attire inspired by goblins, fairies, mystical creatures, or any character that embodies the magical realm. Let your imagination roam free as you create a costume that delights and surprises our visitors. NO Blood or Gore

Weapon Policy

For the safety of all participants, all weapons must be sheathed and peace bound at all times except during live steel performances approved by the production company. Disorderly conduct will not be tolerated and will result in immediate expulsion from the fair.

Liability and Security

All participants agree to indemnify, defend, and hold harmless Historic Arts Presentations and Feast of the Goblin King, as well as their sponsors, officers, employees, and agents from any loss, theft, damage, or injury that may occur during the event. Security will be provided for the vendor's booths and encampment areas starting at 7:00 AM on October 28, 2023. However, the fair and its sponsors will not be responsible for any loss, theft, or damage.

Alcohol and Controlled Substances

Minors under the age of 21 are strictly prohibited from consuming, handling, or purchasing alcoholic and tobacco products. Under no circumstances are controlled substances allowed on the fair site. Anyone found with controlled substances will face immediate expulsion and/or arrest. 

Miscellaneous Rules

All modern tents must be taken down or hidden from public view by 11:00 AM on Saturday. Anyone needing electrical power must make arrangements with HAP for hook up and fees. Cooking must be done on propane or charcoal grills, and no open flames are allowed on the site except in approved fire rings. Vendors and encampments must have fire extinguishers at all times. There is NO SMOKING or VAPING on the streets or in booths during the fair's public hours of operation, and those who need to smoke should do so in one of two labeled areas. Food and beverage vendors are responsible for obtaining a temporary health permit from the Department of Health.

Cleanliness and Photography Policy

All facilities used by participants must be left in a clean, safe, and orderly condition upon the completion of the fair. Your trash must be put into the main dumpster and the patrons trash cans. Failure to do so will result in the loss of the cleaning deposit and/or the invitation to participate in future fairs. Participants agree to be photographed and/or filmed by the camera crew for publicity and historical record purposes. Each participant releases all rights to such materials.
